Privacy Policy

Byte Me Studios · Last updated: [DATE] · Effective: [DATE]

This policy explains what personal information Arthur Trey Maloy, doing business as Byte Me Studios ("Byte Me Studios", "we", "us") collects when you interact with our services, why we collect it, who we share it with, and what you can do about it.

We have written this to be readable. Where we had a choice between the vague phrasing that is conventional in privacy policies and a specific statement of what actually happens, we chose the specific one.

Who this covers

  • Callers — people who phone a business using our AI receptionist.
  • Message recipients — people who receive or send SMS through our platform.
  • Customers — businesses that purchase our products.
  • Readers — people who buy our publications.

What we collect

If you call a business using our receptionist

DataWhy
Your phone numberTo identify your call and return it if needed
A text transcript of the callTo book correctly, and so the business can review what was said
Your name and reason for calling, if you give themTo book the appointment
Appointment date and timeTo hold your booking
Call time, duration, and outcomeTo operate and audit the service

We do not record or store call audio. We store a text transcript produced by our telephony provider.

If you receive SMS from us

DataWhy
Your phone numberTo send the messages you asked for
Your consent status, and when and how you gave itTo prove we had permission, and to honor opt-outs
Message content, both directionsTo hold a conversation and keep a record
Delivery statusTo know whether messages arrived
Any segment or interest information you provideTo send relevant messages rather than irrelevant ones

If you buy something

Payment is processed by Stripe. We never receive or store your full card number. We retain the transaction amount, currency, date, a Stripe reference identifier, and — if you provide it — your email address.

What we do not collect

We do not track you across other websites, buy personal data from brokers, build advertising profiles, or use cookies for advertising.

How we use it

  • To do the thing you asked for: book your appointment, answer your question, fulfil your purchase.
  • To honor opt-outs, which requires keeping a record that you opted out.
  • To improve the service — reviewing what worked and what didn't.
  • To meet legal obligations, including proving consent for messaging.

We do not sell your personal information.

Who we share it with

We use third-party processors to run the service. Each receives only what it needs.

ProcessorWhat it receivesWhat it's for
TwilioPhone numbers, message content, call audio and transcriptsSending and receiving SMS; connecting and transcribing calls
StripePayment details you enter, transaction metadataProcessing payments
SupabaseAll service data listed aboveDatabase hosting
AI model providers (currently OpenRouter and Groq)Message and call transcript contentGenerating replies

About the AI providers, specifically

The content of your messages and calls is sent to a third-party AI model provider to generate a response. This is how the service works, and we would rather say it plainly than bury it.

We do not send them your phone number, name, or payment information alongside that content. Providers may retain content briefly for abuse monitoring under their own policies. We do not permit our providers to train models on this content, and we will change providers rather than accept terms that allow it.

We may also disclose information where legally required, or to protect someone's safety.

How long we keep it

DataRetained
Short-term interaction logs24 hours, then deleted automatically
Summarized long-term recordsUntil you ask us to delete them
Consent and opt-out recordsIndefinitely — we are required to prove we honored an opt-out
Call transcripts[RETENTION PERIOD, e.g. 12 months]
Appointment records[RETENTION PERIOD, e.g. 24 months]
Payment records7 years, as tax law requires

Opt-out records are the deliberate exception. If you tell us to stop messaging you, we keep the record of that instruction permanently. Deleting it would mean we could message you again by accident, which is the opposite of what you asked for.

Your choices

Stop SMS at any time. Reply STOP to any message. This takes effect immediately and is permanent — our system will not re-subscribe you automatically, even if you later text START. To genuinely resume, contact us.

Get help. Reply HELP to any message.

Ask what we hold, or ask us to delete it. Email bytemedevstudio@gmail.com. We will respond within 30 days. We may need to verify you control the phone number or email in question. Note that we cannot delete opt-out records or records we are required to keep for tax or legal reasons.

Correct something wrong. Same address.

If you are in California

The CCPA/CPRA gives you the right to know what we collect, delete it, correct it, and not be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined, so there is nothing to opt out of on that front. Use the contact address above.

If you are in the EU or UK

The GDPR gives you rights of access, rectification, erasure, restriction, portability, and objection. Our legal bases are consent (for marketing messages), contract performance (for bookings and purchases), and legitimate interests (for operating and securing the service). You may complain to your supervisory authority.

Children

Our services are not directed at anyone under 16, and we do not knowingly collect their information. If you believe a child has given us information, contact us and we will delete it.

Security

Access to personal data is restricted to server-side systems using service-credentials; our database denies client access by default. We use encrypted connections throughout. No system is perfectly secure, and we will not claim otherwise — if a breach affects you, we will notify you as the law requires.

International transfers

Our processors operate in the United States. If you contact us from elsewhere, your information is transferred there and handled under this policy.

Changes

We will post changes here with a new "last updated" date. Material changes affecting how we use your information will be announced before taking effect.
